The Problem

Technology One's Electronic Content Management (ECM) System has a number of ways to register files including Batch registration, Rapid Registration and a new multiple document importer. Whilst these applications all have their place in the overall system, they do have a number of shortcomings. Batch Registration can only be used effectively with TIFF files; Rapid registration can only handle a small number of documents at a time; and you are unable to register files to multiple indexes with the Bulk File importer.

The Solution

RocketReg is a powerful multiple document registration tool that enhances the use of Technology One's ECM DataWorks document management system. It can effectively replace all methods of registration with one, easy to use tool. RocketReg is ideal for those organisations wishing to use PDF as the standard file format for scanned documents. This is because the DataWorks Bulk Registration tool is designed for TIFF files and cannot display PDF file images

RocketReg has the following features ( = New!):

General Features

Importing Files for Registration

  • Automatically import from a preset folder location
  • Import selected files
  • Import all files in a directory including sub directories
  • Filter files (e.g. *.*, *.pdf, *.doc, etc) during import
  • Drag and drop files on to the main form to process
  • Drag and drop email messages and email attachments on to the main form to process.
  • Start program with command line arguments of one or more filenames or folders to process

Document Properties & Index Links

  • A DataWorks index link can be added to one or more selected files in one step
  • Add unlimited index links per file (before registration)
  • Remove a selected index link (before registration)
  • Apply a document property template to one or more selected files
  • Use built-in 'mini-search' form to locate and link document indexes
  • Create new DataWorks Indexes using the Index Search and Linker form
  • Edit registered document properties, including index links, notes and tasks
  • Add notes using Note Templates

Notes

  • Can add one note per file
  • Set a default note for a template
  • Can use DataWorks Note Templates

Templates

  • Use templates to set Document metadata including Precis, Classification, Author, Responsible Officer, Internal & External Reference, Date Received & Date Created
  • Automatically set document metadata during import
  • One note per template
  • Can add a DataWorks note template to a document property metadata template
  • Append filename to Précis
  • Use filename as External Reference
  • Set document date as file created date or user selectable
  • Set date received as today's date or user selectable
  • Set up to three default index links per template
  • Set a template as default for importing files
  • Copy templates
  • Export/Import templates as xml files
  • Import corporate standard templates at start-up, optionally replacing existing templates
  • Group by category and search for templates
  • Check template index links and other properties against the currently logged on DAS
  • Add registration instructions to template

Working with Imported Files

  • All, or a selection of files, can be can be removed before processing without deleting the source file
  • DataWorks Classic does not need to be running while document properties are being modified (however user cannot select a Classification, Responsible Officer or Index Link)
  • Internal viewer (included with DataWorks Classic licence) will show first page of supported document types
  • User can zoom in using click and drag to select an area
  • File can be viewed using an external viewer such as Brava Viewer ©
  • File can be viewed using default Windows application
  • Combine selected Acrobat documents into a single document (using PDFtk)
  • Burst the pages of a single Acrobat document into separate documents (Using PDFtk)
  • File size is displayed in the file list grid and highlighted if over a preset size limit
  • File can be renamed from within the file list grid
  • Can open the folder containing the file from the file list grid
  • Automatically display registration instructions before editing document property metadata

Registration

  • Register all or selected file and add notes (if applicable)
  • Register via DAS or DataWorks Classic
  • Precis spell check
  • Prevents files from being re-registered (but can be registered again if re-imported)
  • Distribute tasks using DataWorks Action index links and automatic workflows
  • Delete all source files for registered documents after they are registered
  • Save the registered file's DataWorks Document Number
  • View the registered DataWorks document
